Privacy Policy

Your privacy is important to us. This policy explains how we collect, use, and protect your information.

  • Name, email address, phone number, and company information
  • Business address and contact details
  • Information about your IT infrastructure and business needs
  • Payment and billing information
  • Communications between you and our team
  • Mobile phone numbers and SMS/text messaging opt-in or consent status when you choose to receive text messages from us (see "SMS / Text Messaging" below)
  • Call recordings and transcripts when you speak with us by phone (see "Call Recording and Transcription" below)

We also automatically collect certain information when you visit our website, such as IP address, browser type, device information, pages viewed, referring URLs, and approximate location derived from IP address. Some of this information is collected through cookies and similar technologies described under "Cookies and Tracking Technologies" below.

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Respond to your inquiries and provide customer support
  • Send you technical updates, security alerts, and service notifications
  • Process transactions and send related information
  • Comply with legal obligations and protect our rights
  • Analyze website usage and improve our online services (including through analytics and performance tools)
  • Measure and deliver advertising and marketing (including through pixels and tags described below, when you consent)

Call Recording and Transcription

Calls with Alcala Consulting may be recorded and transcribed by an AI assistant or a third-party service. We use these recordings and transcripts for quality assurance and training purposes, and to improve how we support customers and prospects.

Before any recording or transcription begins, our phone system plays a disclosure notice. If you do not consent, you may press 9 to end the call, or hang up. Continuing the call after the notice constitutes consent to recording and transcription for the purposes described in this policy.

SMS / Text Messaging

Alcala Consulting, Inc. ("Alcala Consulting") may send SMS/text messages to mobile numbers belonging to existing clients and prospective clients for which we have obtained express consent. SMS is used only for informational and customer-care communications related to our IT and cybersecurity services, including appointment reminders, scheduling confirmations, service and account updates, intake follow-up, and technical support replies.

No marketing SMS. We do not send marketing, promotional, advertising, or lead-generation SMS messages. Opting in to SMS does not enroll you in promotional text campaigns. Consent to receive SMS is not a condition of purchasing any goods or services.

Message Flow / Opt-In Workflow

We obtain SMS consent through the methods below. In each case, the required disclosures are provided before or at the time of consent, and a confirmation SMS is sent after opt-in.

1. Digital consent (web forms)

A user navigates to https://www.alcalaconsulting.com/ (or a related contact, intake, or support form on that site), provides their mobile phone number, and opts in by checking an SMS consent checkbox (or equivalent clear affirmative action) and submitting the form. The form clearly states language substantially as follows:

By providing your phone number and clicking Submit, you agree to receive SMS customer care and service updates from Alcala Consulting (appointment reminders, account and service notices, and support replies). Message frequency may vary. Standard Message and Data Rates may apply. Reply STOP to opt out. Reply HELP for help. Consent is not a condition of purchase. Your mobile information will not be sold or shared with third parties for promotional or marketing purposes. See our Privacy Policy at https://www.alcalaconsulting.com/privacy-policy.

Once the form is submitted with SMS consent, the phone number is recorded and a confirmation SMS is sent (see "Keywords and confirmation messages" below).

2. Verbal consent (intake and technical support calls)

When an existing client or prospective client calls or is contacted at (626) 449-5549 (published on alcalaconsulting.com) during client intake or a technical support call, a representative explains the SMS consent process verbally before recording the number for messaging. The representative states language substantially as follows:

By providing your phone number, you agree to receive SMS customer care and service updates from Alcala Consulting, such as appointment reminders, account and service notices, and support replies. We do not send marketing text messages. Message frequency may vary. Standard Message and Data Rates may apply. Reply STOP to opt out. Reply HELP for help. Consent is not a condition of purchase. We will not share mobile information with third parties for promotional or marketing purposes. Our Privacy Policy and Terms of Service are available at alcalaconsulting.com.

Once the customer verbally agrees, the phone number is recorded, and a confirmation SMS is sent:

Alcala Consulting: You have agreed to receive SMS customer care and service updates. Msg frequency may vary. Msg&data rates may apply. Reply STOP to opt out, HELP for help.

Mobile information and consent. Your mobile information will not be sold or shared with third parties for promotional or marketing purposes. We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your personal data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and any other vendors who assist us in the delivery of text messages.

Additional terms may apply as described in our Terms of Service. Questions about SMS privacy can be sent to the contact details below.

How We Protect Your Information

We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction.

Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

  • With service providers who assist us in operating our website and conducting our business
  • With analytics, advertising, hosting, and CRM providers listed under "Cookies and Tracking Technologies" (for example Google, Meta, LinkedIn, HubSpot, and Vercel), which may receive device, usage, and cookie identifiers as described in that section
  • With AI assistants or third-party providers that record or transcribe calls on our behalf for quality and training purposes, subject to appropriate confidentiality and data-protection terms
  • With messaging platform providers, phone companies, and other vendors solely as needed to deliver SMS/text messages you have opted into (see "SMS / Text Messaging" above)
  • When required by law or to protect our rights
  • With your explicit consent

Your mobile information will not be sold or shared with third parties for promotional or marketing purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties except as needed to deliver the messaging program you opted into (for example, platform providers and carriers that help transmit the messages). We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign.

Cookies and Tracking Technologies

We use cookies, pixels, tags, and similar technologies on alcalaconsulting.com to operate the site, understand how it is used, support marketing and advertising, and run our customer relationship tools. Some technologies are essential. Others load only if you choose Accept All (or equivalent) in our cookie banner, which stores your preference in a first-party cookieConsent cookie (and may mirror it in local storage) for about one year.

Below is a list of the tracking and analytics technologies currently integrated into this website, based on our site configuration. Providers may change how their tools work over time; their own privacy policies also apply.

Essential / first-party

  • Cookie consent preference (cookieConsent) — Remembers whether you accepted analytics/marketing cookies or chose essential-only. Required for the consent banner to function.

Analytics and site performance

  • Google Analytics 4 (Google LLC) — Measures visits, page views, traffic sources, and similar usage metrics when a Google Analytics measurement ID is configured for this site. Loaded only after you accept analytics/marketing cookies. Data may be processed by Google under its terms. See Google Privacy Policy.
  • Vercel Analytics (Vercel Inc.) — Provides aggregated website traffic and performance insights for our hosting platform. This tool loads as part of site operation and monitoring (it is not controlled by the cookie banner's "Essential Only" choice). See Vercel Privacy Policy.

Advertising and marketing pixels

  • Meta (Facebook) Pixel (Meta Platforms, Inc.) — Helps us measure advertising effectiveness, understand actions on our site (such as page views), and support Meta advertising and remarketing when a Meta Pixel ID is configured. Loaded only after you accept analytics/marketing cookies. See Meta Privacy Policy.
  • LinkedIn Insight Tag (LinkedIn Corporation) — Helps us measure LinkedIn advertising and campaign performance and understand professional audience engagement with our site. Loaded only after you accept analytics/marketing cookies. See LinkedIn Privacy Policy.

CRM, forms, and marketing automation

  • HubSpot tracking script (HubSpot, Inc.) — Supports customer relationship management, form submissions, chat or similar engagement tools, and marketing automation. The HubSpot script may set cookies (including hubspotutk) and collect usage and contact-related data when you browse or submit forms. On this site the HubSpot script may load after the page becomes idle as part of CRM and form functionality; it is not currently gated behind the cookie banner's "Accept All" choice. See HubSpot Privacy Policy.

Embedded or linked third-party services

  • Google Maps embeds (Google LLC) — Some pages may embed maps to show our office or service area. Loading a map may allow Google to collect device and usage data according to Google's policies.
  • Online scheduling (for example Cal.com) — When you click a booking link, you leave our site and use a third-party scheduling service subject to that provider's privacy policy.

Your choices

On your first visit (and until your consent preference expires or is cleared), you can choose Accept All Cookies, Essential Only, or adjust settings in the cookie banner. Choosing essential-only is intended to prevent loading of Google Analytics, the Meta Pixel, and the LinkedIn Insight Tag. Vercel Analytics and the HubSpot tracking script may still load as described above. You can also block or delete cookies through your browser settings; some site features may not work if cookies are disabled.

For Google Analytics opt-out browser add-ons and advertising controls, see Google's help resources. For LinkedIn and Meta advertising preferences, use the controls those platforms provide in your account or device settings.

Your Rights

You have the right to:

  • Access and receive a copy of your personal data
  • Request correction of inaccurate data
  • Request deletion of your personal data
  • Object to processing of your personal data
  • Request restriction of processing
  • Data portability
  • Opt out of SMS/text messages at any time by replying STOP (see "SMS / Text Messaging" above)
Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date.
