Accounting Firms Trust Laserfiche to Improve Security, Efficiency
LONG BEACH , Calif , Feb. 3, 2005--Accounting firms can use Laserfiche software to combat identity theft, improve organization, and serve clients faster while providing an easily-portable record of their financial history.
Pasadena-based Alcala, a Laserfiche Value-Added Reseller, reports two nearby CPA firms originally wanted to eliminate storage issues, but quickly found that Laserfiche software delivers additional returns that can address a number of modern accounting concerns.
“Laserfiche is very easy for us to integrate with any work environment,” said Alcala CEO Marco Alcala. “Accounting firms rely heavily on their ability to serve their clients, so when they find a way to do it more efficiently, they’re very grateful.”
Donald Wood, president of Pasadena-based CPA firm Wood Business Solutions, has emptied a file room and converted another room for more efficient storage. But Wood also uses Laserfiche for piece of mind as personal information becomes more sensitive than ever before.
“Identity theft is a big issue. I even had a client suffer a major embarrassment because of it,” Wood said. “We’ve always been discreet, but if critical information is sitting in a file cabinet somewhere, you have no guarantees it won’t fall into malicious hands. Ever since we started scanning all client records into Laserfiche a few months ago, I’ve been sleeping a little better. All of the digital records are password-protected. It’s a comfort knowing I can fully safeguard my clients’ personal information.”
Wood takes the further step of making sure his clients get digital CDs, including digital copies of all documentation. The CDs, easily created with a Laserfiche utility, are non-proprietary, so if for any reason a client needs to see another accountant, they have an easily-accessible history to take with them.
Sue Yen Leo runs an Alhambra-based CPA firm. She had been running a successful business since 1985, but loose paper around the office still proved problematic from time to time.
“Laserfiche helps me stay organized,” Ms. Leo said. “Instead of having a bunch of paper floating around my desk, I see something on the computer screen and instantly file it where it needs to be.”
Aside from helping to run a smarter office, Laserfiche software also enables faster communication with clients, who often need information quickly.
“Before, when a client called and needed a copy of his W-2, I’d have say, ‘Let me go to the file room and I’ll call you back,’” Ms. Leo said. “Now I can search for the form right on my computer screen, and instantly e-mail it to the client while we’re still on the phone.”
One of Ms. Leo’s clients was in the midst of a paperless effort, and having little success. Then he saw how easily Ms. Leo e-mailed him digital copies of forms that used to require faxing or mailing.
“He was very jealous that we were actually paperless.”
Laserfiche creates simple and elegant document management solutions that help organizations run smarter. Laserfiche solutions are used in 21,000 government and business offices worldwide.
